Privacy Policy

Hyde SciOly Prep is an independent study site made by Hyde parent volunteers for Hyde students. It is not run by, endorsed by, or affiliated with Hyde Middle School or its school district.

This policy covers all of Hyde SciOly Prep (hydesciolyprep.com) and every course on it. Parent volunteer coaches set up teams; students, most of them in middle school, practice on the site. This page explains what we collect, why, and who else handles it. Questions: help@hydesciolyprep.com.

StudentsThe first name and last initial the coach or site administrator enters (the site shows the initial only when two students share a first name), a username and password we generate, the school and team they belong to, and their practice results in each course: answers to drills, quizzes and practice tests, scores, lessons finished, and the times they practiced. Only if a parent allows Google sign-in: the Google email address the parent approved, and who approved it and when. The site administrator may enter a student's Google address so the parent only has to confirm it; until the parent answers, it is kept with the parent's link, and it is deleted if they say no.To let them sign in, save their progress, and show their coach how the team is doing.

EveryoneAnonymous daily page view totals (a count per page, per kind of visitor and per broad referrer such as "Google", with no IP address, device ID or name), basic technical logs kept by our hosting provider (such as IP address and browser type), and the sign-in cookie that keeps a signed-in person signed in. Pages also load fonts from Google Fonts, so Google sees the request.To keep the site running and secure, and to see which pages get used.

We don't ask students for their email address, phone number, home address, photo or exact location. The only student email address we keep is a Google address for sign-in, entered by the site administrator for a parent to confirm or approved by the parent, and used for nothing else.

Who we share it with

We use a few services to run the site. They handle data only to provide their service to us:

We may also disclose information if the law requires it. We never sell the site's data.

How we use Google user data

Hyde SciOly Prep uses Google user data in two places, and only there.

Sign in with Google (coaches, parents, and students whose parent allowed it). Google tells us your name, verified email address and a link to your profile picture. We use the name and email address to find or create your account and to show your name on the site, and nothing else. We don't use the picture.

Save as Google Form (coaches only, in the Test Builder). This copies a practice test or assessment into a Google Forms quiz in the coach's own Google Drive, so students without an account here can take it. When a coach presses the button, Google asks them to allow one permission: to "see, edit, create and delete only the specific Google Drive files you use with this app" (Google's drive.file scope). With it:

Hyde SciOly Prep's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Who can see a student's information

A student's results are visible to that student and to the coaches on their team (and the site administrator, for support). Other students and other teams can't see them. A parent linked to a student sees only how that student signs in, not their results.

Children

Hyde SciOly Prep is for Hyde students on teams run by parent volunteer coaches. Students don't sign themselves up: a coach creates their account, and only that adult decides who joins their team. By adding a student, the coach confirms they are authorized to do so for their team, including, where the law requires it, on behalf of the school or with parents' permission. We collect only what the site needs to work, as listed above, and use it only to provide the site.

Google sign-in for a student is optional and off unless a parent turns it on. The site administrator links a parent's account to their child; the parent then decides, from their own account, whether the child may use a Google account, and types that address or confirms the one the administrator entered. We keep it only to let the child sign in, and the parent, the coach or the administrator can turn it off at any time, which deletes the address.

Parents can ask the coach or email help@hydesciolyprep.com to see, correct or delete their child's information, and we will remove it. We don't knowingly create accounts for anyone directly under 13 without a teacher or coach setting them up, and if we learn one exists without that, we'll delete it.

How long we keep it

We keep an account's data while the account is active. When a season ends, the site administrator retires that season's students: their login is turned off and their password, Google address and parent links are deleted. Their first name, last initial, team and practice results are kept as the team's records of past seasons, and we delete them if a parent or the student asks. Coach and parent accounts last one season: when it ends, the accounts of coaches and parents who aren't part of the new season are deleted (their login, email address, name and links to students), and anyone still involved signs up again. Practice tests a coach wrote stay with the team for the next coach. A coach can remove a student (which deletes the student's login, results and written answers) or delete a team (which deletes all of its students and records) from the dashboard at any time. A coach can ask us to delete their own account by emailing us. Help messages are deleted after a year. Sign-in and set-up links, and the counters we use to limit how many emails can be sent, are deleted within about six weeks. Backups and logs age out on the providers' normal schedules.

Security

Data is sent over HTTPS and stored with Google Cloud. Access is limited by account role, so students, coaches and the administrator can see only what their role allows. No system is perfectly secure, but we take reasonable steps to protect what we hold.
